How to print eBay labels on unused A4 label sheets

If you print marketplace postage labels on A4 label sheets, you may end up with one or more unused labels left on the page. This guide explains how to use those spare positions without guessing and wasting sheets.

When this problem happens

Many sellers print one label at a time. If your sheet has four labels and the first label has already been used, the next PDF still often opens as a full A4 page or starts in the wrong place. Sending that straight to the printer can waste the rest of the sheet.

The fix is to place the label PDF onto the spare slot before printing. For a common 2 x 2 A4 sheet, that might mean moving the label into slot 2, 3 or 4.

Before you print

  • Check which labels on the sheet have already been used.
  • Confirm whether your sheet is A4, Letter, 2 labels, 4 labels, 6 labels or another layout.
  • Open the postage label PDF and check whether the label is already cropped or sitting on a full A4 page.
  • Find your printer setting for actual size or 100% scale.

Do not use fit to page unless the label supplier specifically tells you to. Fit to page can shrink or move the barcode, which may make the label harder to scan.

If the label PDF is a full A4 page with the postage label in one corner, try Auto detect first. If that does not crop the label area cleanly, try the eBay A4 label crop option or use a custom crop.

Print a test sheet first

For a partly used label sheet, it is worth printing a test on plain paper. Hold the plain paper behind the real label sheet and check that the label lands inside the unused sticker area.

The test sheet can show alignment boxes. The normal downloaded label PDF should stay clean, so the guide lines are not printed on the actual postage label output.

Common mistakes

  • Printing at fit to page instead of 100% scale.
  • Choosing the wrong slot because the sheet was rotated in the printer tray.
  • Using the wrong template for the label supplier's margins.
  • Letting the barcode sit too close to an edge.
  • Assuming every marketplace PDF uses the same label crop.

When to use a fresh sheet

Use a fresh sheet if the label is close to the edge, the sheet has curled, adhesive is exposed, the printer has already misfed it, or the barcode does not sit clearly inside the label area. Saving one label is not worth a parcel delay.
